Reputation Shield ("we," "us," "our") provides a review-management tool for dental and medical practices. This policy explains what information we collect, how we use it, and the choices you have. We built this product specifically to help practices avoid privacy violations when handling patient reviews, and we hold ourselves to the same standard with the data you share with us.

What we collect

  • Account information: your name, email address, and practice name
  • Billing information: handled directly by Stripe, our payment processor - we do not store your card number
  • Review text you paste into our drafting tool, which is sent to Anthropic's Claude API to generate a response draft
  • Feedback submitted through your practice's private feedback form, which is stored so you can view and respond to it
  • Basic usage data (pages visited, features used) to help us improve the product

What we don't collect

We do not ask for, and you should not enter, protected health information (PHI) or specific patient treatment details into any part of this product. Our tool is designed to help you respond to reviews without referencing that information at all.

How we use your information

  • To provide and operate the service, including generating AI-drafted responses
  • To process payments and manage your subscription
  • To communicate with you about your account, including sign-in links and billing notices
  • To improve the product and fix issues

Third parties we use

  • Stripe - payment processing
  • Supabase - database and authentication
  • Anthropic (Claude API) - AI-generated response drafts
  • Vercel - hosting
Each of these providers has its own privacy practices governing data they process on our behalf.

Data retention

We retain your account and practice data for as long as your account is active. If you cancel your subscription, you can request deletion of your data by contacting us at the email below.

Your rights

You can access, update, or delete your account information at any time by contacting us. You can manage your billing information and cancel your subscription directly from your dashboard.
